Congratulations on your new position as a student employee at DePaul University! We're happy to welcome you to the dynamic team of student employees working on campus at DePaul. To get started in your new position, follow these steps:

Student Responsibilities

Come to the Career Center

  • You must come to the Career Center on or before the date employment begins so that the I-9 Form may be completed in accordance with federal regulations.
  • Bring identification that verifies your identity and shows your eligibility to work in the United States. For acceptable forms of identification, review PAGE 3 of the I-9 Form.
  • Bring a Student Employment Action Form (SEAF) filled out by your supervisor. Complete the correct hiring paperwork to ensure entry into the payroll system.

Complete Hiring Packet Paperwork

  • You must come into the Career Center prior to your start date to complete the correct paperwork for payroll if you have not worked on campus within the last six months.
  • You must also bring a completed SEAF.

Hiring Packet Paperwork Includes:

  • Student Employee Information Worksheet
  • Student Employment Agreement Form
  • I-9 Form (bring identification establishing identity and employment eligibility) which must be completed prior to start date, and no later than 3 business days after start date
  • Federal Tax Form
  • State Tax Form
  • Direct Deposit Form – bring a voided check

Incomplete Hiring Packet – If, for any reason, your hiring packet is incomplete you and/or your supervisor will be notified that there is a problem. If you receive notification of incomplete paperwork, come to the Career Center as soon as possible to resolve the issue. Hiring packets will be considered incomplete if you do not have your employment eligibility documents, fail to complete or sign tax forms, or are missing the any of the above documents.

Incomplete packets require the student to return to the Career Center. Payroll will be delayed.

Important I-9 Form Reminders

  • Federal law requires that the employee complete Section 1 of the I-9 on or before the date employment begins.
  • The DePaul Career Center must complete Section 2 of the I-9 no later than the third business day of employment.
  • Please assist the university with compliance of federal regulations by completing your employment paperwork prior to the third day of employment.

Troubleshooting – You must stop working if the I-9 is not completed within 3 business days of the date employment begins. The employee (You) may not continue working until the I-9 is completed.

F-1 or J-1 Students

If you do not yet have a Social Security card, one must be obtained from the U.S. Social Security Administration (SSA). Learn how to get a Social Security card.

Please visit the International Student Office (ISO) website for more information about working on-campus.

Bring your SEAF to the Career Center and complete a Hiring Packet. You will need to make sure you bring appropriate identification that will establish your identity and eligibility to work in the US. Upon completion, an appointment will be made for you to meet with a Payroll representative to ensure:

  • You understand how to enter your work hours so that a paycheck may be processed
  • Maintain appropriate immigration status
  • Apply for any applicable tax treaty with your home nation to be taxed appropriately
